When too many leads arrive at once, stop working from the alert feed and work from the full lead list, sorted oldest first, with each caller owning a block of leads. Alerts tell you a rush has started. The list is where you clear it.

## Why the alerts cannot keep up

A lead alert is built for a steady trickle. In a rush, two limits kick in:

- **Slack's posting limit.** Slack lets an app post about one message per second in a channel, with short bursts allowed. Above that, Slack tells the app to wait.
- **Your tool's own cap.** Marxx posts up to 20 lead messages per client every 10 minutes. Every lead is still in Marxx, on the Leads page.

We make Marxx. Whatever tool you use, plan for a rush where Slack shows only part of the list.

## Worked example

Say Wanderlast Holidays runs a Diwali flash offer at 7 pm. Between 7:00 and 7:10, 64 people fill the form.

| | Count |
|---|---|
| Leads in 10 minutes | 64 |
| Posted as Slack messages | 20 |
| Only on the Leads page in Marxx | 44 |
| Callers on shift | 4 |
| Leads per caller | 16 |

If the team works only from Slack, 44 people wait for a call nobody knows to make. If the team works from the list, each caller takes 16 leads and starts at once.

Now the time. Say each first call takes 4 minutes, including dialling. One caller clears 16 leads in about 64 minutes. With 4 callers, the last lead hears from you around 8:15. With 2 callers, it is closer to 9:15. That is why the rota matters more than the alert.

## A rush playbook

1. **Spot the rush.** When the leads channel fills quickly, post "Rush on, work from the list" in the channel so nobody tries to keep up message by message.
2. **Open the full list.** In Marxx, open the client's Leads page. Every lead is there, including the ones that did not get a Slack message.
3. **Split by block.** Give each caller a block, for example by time received: Priya takes 7:00 to 7:02, Karan takes 7:03 to 7:05, and so on.
4. **Call oldest first.** The person who filled the form first has waited longest.
5. **Mark progress.** Use **Mark contacted** on the Slack messages you have, and move the rest in Marxx, so two people never call the same lead.
6. **Note what you learn.** Use **Add note** for each call. In a rush, notes are what let the next shift continue.
7. **Pause or cap the ad if needed.** If leads arrive faster than your team can call them, lower the budget for the next hour rather than letting leads go cold.

## Before the next big campaign

- **Book the callers.** Plan the rota for launch hour, not after.
- **Send leads to their own channel.** Alerts and digests then stay readable during a rush. See [how to get Facebook lead notifications in Slack](/guides/how-to-get-facebook-lead-notifications-in-slack).
- **Add a qualifying question.** A question such as "When do you plan to travel?" helps you call the hottest leads first. See [lead ad form templates](/templates/lead-ad-form-templates).
- **Check your alerts.** A [Meta ads alert in Slack](/guides/how-to-set-up-meta-ads-alerts-in-slack) on cost per result helps you see whether the rush is also costly.

The time from form to first call is your [speed to lead](/glossary/speed-to-lead), and it slips fastest in a rush.

## FAQ

### Are leads lost when Slack does not show them all?

No. Marxx posts up to 20 lead messages per client every 10 minutes, and every lead is still in Marxx on the Leads page.

### What happens to leads past the 20-message cap?

They do not get their own Slack message in that 10-minute window. They are on the Leads page in Marxx with every other lead, so work them from there.

### Should I pause the ad in a rush?

If your team cannot call leads within a reasonable time, lowering the budget for an hour costs less than paying for leads nobody calls. Decide by how many callers you have.
