# How to keep client data separate in Slack

> Agencies keep client data apart in Slack with one set of channels per client, private rooms for lead details, per-client tool settings and a monthly members check.

Keep every client in its own set of channels, never put two clients in one channel, and set up each Slack tool per client so its messages land only in that client's channels. Then check channel members once a month, because most mix-ups come from someone added to the wrong room.

## Where client data leaks

- **Shared catch-all channels** like #leads or #alerts for every client. One misread message and a lead is called about the wrong brand.
- **Leftover members.** A freelancer who left the Orbit Fitness account is still in its channels.
- **Copy and paste.** A teammate pastes one client's numbers into another client's thread.
- **Tools set up once for the whole workspace**, posting every client's alerts into one place.
- **Shared channels with clients** that also carry internal alerts or lead contact details.

## Habits that keep clients apart

| Risk | Habit |
|---|---|
| Two clients in one channel | One set of channels per client, named the same way |
| Lead phone numbers seen by too many people | Post a pointer to the lead, not the contact details, or use a private -leads channel |
| Old members | Remove people from a client's channels the day they leave the account |
| Wrong client in a tool | Set each tool's channel per client, then send a test message |
| Client sees internal talk | Keep ext- channels for client conversation only |

Our [Slack channel naming conventions for agencies](/templates/slack-channel-naming-conventions-for-agencies) make the first habit easy: every channel starts with the client's name.

## When a client needs its own workspace

Most agencies run one workspace with separate channels. A separate space makes sense when a client insists on it, or when it runs its own Slack and wants you inside it. In that case, use [Slack Connect](/glossary/slack-connect): the channel sits in both workspaces, and each company keeps control of its own side.

## Set up tools per client

Each ad tool that posts to Slack should know which client a message belongs to. Check three things for every tool:

1. **Where it posts.** Each client should have its own channel in the tool's settings.
2. **Who can act.** Buttons in Slack should act as the person who clicked, with that person's access.
3. **What it answers.** An AI bot should answer only about the client whose channel it is in.

We make Marxx. Its Slack settings are set per client, and buttons and @Marxx answers work only for clients the person can open in Marxx. @Marxx does not answer in channels two clients share. See [client workspaces](/features/client-workspaces).

## A monthly check

Once a month, the account lead opens each client's channels and checks:

1. The member list matches the people on the account today.
2. No guest or partner sits in an internal channel.
3. Every bot in the channel belongs to a tool that client uses.
4. The pinned owner and backup are still right.

Say you run 6 clients with 3 channels each. That is 18 member lists, about 2 minutes each, so 36 minutes a month.

Access to the ad account matters as much as Slack. See [how to give an agency access to a Meta ad account](/guides/how-to-give-an-agency-access-to-your-meta-ad-account) and the [agency Slack setup guide](/guides/how-to-set-up-slack-for-an-ad-agency).

## FAQ

### Should agency staff see every client's channels?

Only the clients they work on. Make client channels private if your team is large or clients are in the same sector.

### Is it safe to post lead details in Slack?

Anyone in the channel can read them. Post a pointer to the lead and open the details in the lead tool, or keep a private -leads channel with only the people who call.

### What happens to client channels when the contract ends?

Archive the internal channels and leave or close the shared one. Remove the client's tool connections the same day.
