# How to reduce client WhatsApp group chaos

> Indian agencies drown in client WhatsApp groups. Move alerts, leads and team talk to Slack, keep WhatsApp for quick client contact, and set rules for each.

Keep WhatsApp for what it does well, quick contact with the client, and move everything else out: your team's own talk, tool alerts, lead notifications and file sharing. A simple written rule ("WhatsApp for the client, Slack for the work") cuts most of the noise without asking any client to change apps.

## Why client WhatsApp groups get messy

- **Everything lands in one stream.** Approvals, creative files, invoices and "any update?" sit in the same scroll.
- **Your team talks in front of the client**, or in a second group that slowly copies the first.
- **People join late.** A new account manager added to a group usually misses what was said before they joined.
- **Work sits on personal phones.** When someone leaves the agency, their chats leave with them.
- **Ad tools rarely post there.** Of the ad tools we read on 6 Nov 2026, most post updates to Slack. Markifact also lists WhatsApp as a place its agent works.

## What to move first

| Message type | Keep on WhatsApp | Move to Slack |
|---|---|---|
| Client approvals and quick questions | Yes | Optional |
| Your team's discussion about the client | No | Yes, internal channel |
| New lead notifications | No | Yes, a -leads channel |
| Ad alerts and account problems | No | Yes, an -alerts channel |
| Weekly update | Short version | Full version linked |
| Creative files for review | Link only | Link in the internal channel |

## When to move a client fully to Slack

Move the whole relationship only when the client wants it. Good signs:

- The client already uses Slack inside their company.
- More than three people on their side need to see updates.
- Approvals keep getting lost in the group.

For those clients, open a shared channel with [Slack Connect](/glossary/slack-connect). For everyone else, run the hybrid below.

## A hybrid setup

1. **Create internal Slack channels** for every client, even the ones who stay on WhatsApp. See [how to set up Slack for an ad agency](/guides/how-to-set-up-slack-for-an-ad-agency).
2. **Point leads and alerts at Slack.** [Facebook lead notifications in Slack](/guides/how-to-get-facebook-lead-notifications-in-slack) shows how.
3. **Keep one WhatsApp group per client**, with one or two people from your side.
4. **Write the rule in the group description**: replies 10am to 7pm, weekly update on Mondays, urgent issues by call.
5. **Copy client decisions into Slack.** When the client approves something on WhatsApp, the account lead posts it in the internal channel.

## Worked example

Say your agency has 8 clients, each with a WhatsApp group of 6 people from your side. That is 8 x 6 = 48 places in client groups. After the move, each group keeps 2 people from your side, so 8 x 2 = 16. The other 32 places move to internal Slack channels, where alerts and leads already land and the client does not watch your team think. On Slack Pro at INR 245.25 per user a month paid yearly (checked 6 Nov 2026), a 10-person team costs 10 x INR 245.25 = INR 2,452.50 a month. See [Slack pricing in India](/prices/slack-pricing).

We make Marxx. [Marxx in Slack](/features/slack) posts each client's new leads and alerts into that client's own Slack channel, so they stop arriving as forwarded screenshots.

## FAQ

### Will clients be upset if we stop answering on WhatsApp?

Do not stop. Keep the client group, set reply hours and move only your internal work to Slack.

### Should the team use personal or work WhatsApp numbers?

Work numbers where you can, so the chat stays with the agency when someone leaves.

### Can we run everything on WhatsApp instead?

You can, with discipline. Most ad tools we read post alerts to Slack, so you lose those unless you forward them by hand.
