To respond to Facebook leads quickly, make sure every new lead lands where a named person sees it within moments, and give that person a script and a rule for when to call. Speed comes from the setup and the rota, not from people refreshing Leads Center.

## Why fast replies matter

A person who fills your lead form is thinking about your offer right then. An hour later they may be in a meeting, on a call with a rival or simply not remember the form. The gap between the form fill and your first call is your [speed to lead](/glossary/speed-to-lead). Measure your own, then cut it.

We are not quoting a percentage here, because we could not check one we trust. Your own numbers will tell you more: compare how many leads you reach when you call within 10 minutes against within a day.

## The 6-step playbook

1. **Alert in the right channel.** Post each new lead where the callers already are, such as a client's `-leads` channel in Slack. See [how to get Facebook lead notifications in Slack](/guides/how-to-get-facebook-lead-notifications-in-slack).
2. **Name an owner for every hour.** Write a rota. "Whoever sees it" means nobody.
3. **Call first, with a short script.** Use the script below. Have the lead's form answers open.
4. **No answer? Message.** Send a short WhatsApp or SMS that says who you are and which form they filled. See [WhatsApp ad message templates](/templates/whatsapp-ad-message-templates).
5. **Mark contacted.** Tell the team the lead is handled, so nobody calls twice.
6. **Write a note.** Record the outcome and the next step where the whole team can read it.

## A first-call script

```
Hi, is this [first name]? This is [your name] from [business].
You asked about [offer, from the form] a few minutes ago on Instagram/Facebook.
Is now a good time for two minutes?
[If yes] Great. Can I check: [one qualifying question from the form]?
[Then] The next step is [what you will send or book]. Shall I send it on WhatsApp?
[If no] No problem. When should I call back today?
```

Keep it short. The form already told you who they are, so do not ask the same questions again.

## A rota that covers the day

Say Northwind Escapes gets about 30 leads a day, most of them between 7 pm and 11 pm.

| Time | Owner | Backup |
|---|---|---|
| 9 am to 1 pm | Priya Shah | Karan Mehta |
| 1 pm to 7 pm | Karan Mehta | Priya Shah |
| 7 pm to 11 pm | Two callers on shift | Account manager |
| 11 pm to 9 am | Morning shift calls these first | |

Leads that arrive at night get a message at once and a call at 9 am, oldest first.

## How Marxx helps

We make Marxx. It posts each new Meta lead in the client's Slack channel within moments, with **Mark contacted** and **Add note** buttons, so steps 1, 5 and 6 happen in one place. See the [Leads feature](/features/leads).

## Common mistakes

- **Alerts in someone's personal email.** One holiday and leads go unread.
- **Asking the form's questions again.** The lead already answered them. Start from their answers.
- **No record of who called.** Two callers ring the same person, and nobody rings the next one.
- **Long gaps after the first try.** If the first call fails, message at once and try again later the same day.

If your form brings many leads with wrong numbers, look at the form itself. See [lead ad form templates](/templates/lead-ad-form-templates).

## FAQ

### How fast should I call a Facebook lead?

As soon as you can while you are open, and the same day at the latest. Measure your own response time and reach rate, then set a target your team can meet every day.

### What if the lead does not pick up?

Send a short message saying who you are and what they asked about, then try again later the same day. Note each attempt.

### Should I call or WhatsApp first?

Calling first and messaging when there is no answer suits most forms that ask for a phone number. Test both on your own leads and keep what reaches more people.
