A lead note is a short record written right after each call or message, so anyone who opens the lead knows what was said and what happens next. Good notes are short and dated, and they end with a next step.

## What a lead note is for

Three people read a lead note, often on a phone.

- **The next caller,** who should not ask the same questions again.
- **The team lead,** checking why leads stall or get lost.
- **You, next week,** when the lead calls back and you have forgotten the details.

So write for someone who was not on the call. Facts, numbers, dates. No "spoke to him, interested".

## The template

```
[Date] [Time] - [Your name] - [Call / WhatsApp / Email]
Result: [Answered / No answer / Wrong number / Call back]
Wants:     [what they are looking for, in their words]
When:      [timing]
Budget:    [range, if shared]
Decides:   [who else decides]
Concerns:  [objections or questions]
Language:  [preferred]
Next step: [action] by [who] on [day, time]
Stage:     [New -> Contacted / Qualified / Lost + reason]
```

## What to leave out

- **Card numbers, ID numbers or bank details.** They do not belong in notes or chat.
- **Opinions about the person.** "Seems rude" helps nobody. "Asked to be called only after 18:00" does.
- **The whole conversation.** Keep it to what changes the next step.

## Filled example

Say Asha Rao at Northwind Escapes, a fictional travel agency, calls a lead from the "Dubai family trip" form.

```
6 Nov 11:42 - Asha Rao - Call
Result: Answered
Wants:     Dubai, 2 adults + 2 kids (8, 11), theme parks
When:      Christmas week, 5 nights
Budget:    About INR 2.4 lakh incl. flights from Mumbai
Decides:   Lead and spouse; spouse wants a hotel with a pool
Concerns:  Visa time for kids' passports
Language:  English, some Hindi
Next step: Asha sends 2 hotel options + visa checklist on
           WhatsApp by 17:00 today
Stage:     Contacted -> Qualified
```

Then, after the follow-up:

```
6 Nov 16:55 - Asha Rao - WhatsApp
Result: Sent 2 options + visa list. Read, no reply yet.
Next step: Asha calls 7 Nov 11:00 to walk through options
Stage:     Qualified (no change)
```

Names, dates and amounts are made up.

## Tips

1. **Write within two minutes.** Details fade fast between calls.
2. **Start with the date and your name,** so the history reads in order.
3. **Always end with a next step and a date.** A note with no next step is how leads go cold.
4. **Use the lead's words for what they want.** "Pool villa, not hotel" beats "premium".
5. **Keep notes where the lead lives,** in your CRM or lead tool, not in a chat thread that scrolls away.

Notes feed qualification and your stage counts. See our [CPA explainer](/glossary/cpa) for how stages turn into cost per sale, and the [Slack lead notifications guide](/guides/how-to-get-facebook-lead-notifications-in-slack) for getting leads in front of callers. We make Marxx. Its Add note button in Slack saves a note on the Meta lead in Marxx under your name, and the note itself stays in Marxx. See [Marxx in Slack](/features/slack).

## FAQ

### How long should a lead note be?

Five to ten short lines. If it needs more, the call probably covered several topics. Keep only what changes the next step.

### Should I write a note for an unanswered call?

Yes. One line with the time and "No answer" tells the next person how many tries have happened.

### Can notes be in Hinglish?

Yes, if the whole team reads it. Keep numbers, dates and names clear.
